Google reviews: a strategy for local businesses

Genuine reviews can help people make sense of a business. Here is how to invite every customer to share their experience neutrally, avoid incentives and review gating, and respond to criticism calmly without disclosing unnecessary personal data.

Introduction

Reviews can help prospective customers assess experiences with a local business. They are only one signal among many, however, and guarantee neither a particular position nor clicks or enquiries.

A sound review process does not aim for a preferred star rating. It neutrally invites genuine customers to share an honest experience, regardless of how satisfied you expect them to be.

This article sets out a fair process: no reward, no prior screening, no prescribed review text, and responsible handling of criticism and third-party content.

Chapter 01

The role reviews play in your local presence

Google can display reviews and other company information on a local Business Profile. Google determines the precise order of local results; no fixed number of reviews or particular average star rating can secure a position.

For people, genuine and recent reviews provide useful context. They replace neither complete business information nor a suitable service, good availability and a clear website.

Treat reviews as part of your local SEO presence and customer communication, not as a ranking trick. Our SEO guide for beginners explains the fundamentals.

Chapter 02

What makes a sound body of reviews

A credible body of reviews grows from genuine experiences and a consistent process. There is no universal minimum number or star threshold that triggers a ranking or commercial result.

Critical voices are part of an unfiltered picture too. The important point is not to manipulate the record, and to respond factually without revealing personal or confidential details.

  • Authenticity: genuine experiences only—no purchased, fabricated or vested-interest reviews.
  • Neutrality: invite an honest account, not five stars, particular words or exclusively positive feedback.
  • Equal treatment: use the same process for every customer you approach, regardless of their presumed satisfaction.
  • Data protection: respond publicly without sensitive details and move the discussion to a suitable private channel.

Chapter 03

A systematic approach: fitting reviews into day-to-day operations

Set a consistent, neutral point at which genuine customers are invited to leave a voluntary review. The process must not depend on whether you expect positive or negative feedback.

Do not promise a response rate or derive a ranking target from it. Measure internally only whether the process is applied fairly and consistently.

Depending on the channel and format, review requests may be classed as advertising. Before sending email, SMS or direct messages, check the required consent and legal basis. If in doubt, have the specific process reviewed by a legal professional.

  • Choose the moment: after providing an actual service, neutrally invite the customer to share their personal experience—not only when the response appears likely to be positive.
  • Remove friction: create a direct review link in your Google Business Profile and turn it into a QR code. Put it on the invoice, a card or the counter.
  • Assign responsibility: one trained person ensures that everyone approached receives the same neutral invitation.
  • Use neutral wording: ‘If you would like to share your experience, you can voluntarily leave us a review on Google.’ No preferred star rating, prescribed wording or pressure.
  • Protect voluntary choice: do not link a review to discounts, gifts, prize draws, advantages or disadvantages.

Chapter 04

Negative reviews: respond, do not react

Respond to criticism calmly and factually. Thank the person for their feedback, offer a suitable contact route, and avoid public details about an order, treatment, payment, identity or any other confidential circumstances.

Do not publicly accuse someone of lying or claim they were never a customer unless you can establish that reliably. A brief response offering to resolve the matter privately can reduce the risk of disclosing unnecessary details in public.

If, after review, a post appears to breach platform rules, you can report it using Google's designated tools. A report does not guarantee removal. Document the process and seek specialist advice if the allegations are serious or could harm the business.

Chapter 05

Practices that have no place in a review process

Do not use reviews that are purchased, fabricated or created by employees, relatives or business partners without having had a genuine, independent experience. Conflicts of interest distort the picture and may breach platform rules or the law.

No reward: no money, discount, gift, prize-draw entry or other benefit. This applies not only to positive reviews; an incentive tied to any star rating can compromise independence.

No review gating: do not ask about satisfaction privately first and direct only positive cases to Google. A neutral invitation must work without selective screening.

Do not control the wording: request neither five stars, keywords nor a pre-written text. Never write or copy a review on a customer's behalf.

Chapter 06

Reviews are the engine, not the entire car

Reviews are only one part of your local presence. Your Business Profile, accurate contact details, relevant content and an easy-to-use website work together; none can guarantee a position or enquiry on its own.

Before using a review outside Google as a quotation, screenshot or advertising asset, clarify the necessary usage rights and, where relevant, obtain consent from the identifiable person. Do not reproduce someone else's review content without permission or simply remove critical context.

In a strategy session, we can assess your profile, website and existing data with you. The outcome is a prioritised set of possible steps, not a promise of rankings or enquiries.

In short

The key points at a glance

Genuine reviews can strengthen your local presence. There is no fixed number, star threshold or guaranteed effect on rankings.

Invite genuine customers neutrally and without screening them first. No incentives, no review gating, no prescribed wording and no reviews from people with a conflict of interest.

Respond to criticism without disclosing unnecessary personal data, and use other people's review content outside the platform only with the required permission.

FAQ

Frequently asked questions

How many Google reviews do you need to rank locally?
There is no fixed number or star threshold that triggers a local ranking. Invite genuine customers fairly to share honest experiences and maintain your entire Business Profile without turning that into a ranking promise.
Can you actively ask customers for a Google review?
You can neutrally invite genuine customers to share their experience voluntarily. Offer no reward, request no particular star rating or wording, and do not approach only customers you expect to be satisfied. For email, SMS or messaging services, also check the legal basis and consent required for that specific channel.
Can you have an unfair or false review removed?
If, after review, a post appears to breach platform rules, you can report it using Google's designated tools. Google decides whether to remove it. In the meantime, respond briefly and factually without confidential details; seek specialist advice if the allegations are serious or could harm the business.
Will an individual negative review harm your business?
The effect depends on the overall profile and context. Do not try to obscure criticism with manipulated positive reviews. Respond factually, disclose no unnecessary personal data and offer to resolve the matter privately.
